Organise around your work
A personal AI working system can begin with a few documents you already use. Keep a brief, a good example, and a review checklist for each recurring task. Organise them by the work they support, such as preparing a meeting or reviewing a draft, so you can find the right material without remembering which tool produced it.
The brief records the purpose and common constraints. The example shows what a useful result looks like. The checklist preserves the decisions you made while checking it. Together, these pieces reduce repeated explanation while keeping the reasoning behind a process visible.
Leave room for change
A saved example should include a short note about why it worked. Perhaps the introduction gave the reader enough context, or the output separated facts from open questions. Those notes help you adapt the example for another audience instead of copying its surface features and missing the reason they were useful.
Review the system when your work changes. Remove briefs you no longer use and update constraints that have become outdated. Keep the collection small enough to browse easily. A helpful system earns its place by making real work clearer; its value comes from the quality of your saved decisions and the ease of revisiting them.
